Customer Complaints & Dispute Resolution Policy

Quinten Pty Ltd (trading as OG Trade Services) is committed to providing high-quality products and electrical services. This policy outlines our formal procedure for receiving, investigating, and resolving customer complaints fairly, transparently, and in accordance with Australian Consumer Law (ACL).

1. Objectives of This Policy

We aim to ensure that:

  • You are fully informed of our complaint lodgement and handling process.

  • Your complaint is investigated impartially, objectively, and with a balanced assessment of all relevant evidence.

  • Your concerns are considered on their individual merits, taking into account your specific circumstances and needs.

2. How to Lodge a Complaint

To help us investigate and resolve your complaint as efficiently as possible, please submit your complaint in writing supported by relevant documentation or evidence.

Required Details

Please include the following information in your submission:

  • Your full name and contact details (phone number, email address, physical address).

  • Your OG Trade invoice or reference number.

  • The name of the OG Trade representative or technician involved (if applicable).

  • A detailed description of the issue, including any steps you have already taken to attempt resolution.

  • Supporting evidence (e.g., photos, correspondence, invoices).

3. Time Limitation for Complaints

12-Month Limitation Period

Complaints must be lodged within 12 months of the date on which the events giving rise to the complaint occurred.

Extensions in Exceptional Circumstances

In exceptional cases, OG Trade Services may extend this period for events occurring more than 12 months prior to lodgement.

To request an extension:

  1. Submit a written request detailing the reasons for the delay in lodging the complaint.

  2. Provide supporting evidence explaining why an extension should be granted.

  3. Approval for any extension rests at the discretion of our Resolutions Coordinator and/or General Manager.

4. Our 6-Point Complaint Resolution Process

We handle all disputes in a structured, transparent manner:

  1. Acknowledge: We will acknowledge receipt of your written complaint within 7 business days.

  2. Review: We perform an initial review to determine whether further details or evidence are required.

  3. Investigate: We conduct an objective and impartial investigation, considering the facts, evidence, and internal operational records.

  4. Respond: We aim to notify you of our findings and proposed actions within 21 business days of receiving your complaint.

    • Complex matters: If further investigation is required, we will inform you of the delay and provide a final response within 45 calendar days of the initial lodgement date.

  5. Act: Where appropriate, we will implement corrective measures or amend business procedures to uphold our operational standards and consumer commitments.

  6. Record: All complaints are recorded and analyzed during regular management reviews to drive continuous improvement in our products and services.

5. Your Rights Under Australian Consumer Law (ACL)

Our goods and services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in this policy limits or alters your statutory rights under the Competition and Consumer Act 2010 (Cth).

If you remain unsatisfied with the outcome of our internal dispute resolution process, you have the right to refer your matter to the relevant state or territory Fair Trading or Consumer Affairs authority:
